Prepare instruments for calibration and reduce avoidable delays

Define instrument identity, measurement ranges, tolerances, access and adjustment authority before the calibration visit.

List the measurement, not just the device

Include the tag, make, model, serial number, range, units and process location. Identify the functions or channels actually used. For a transmitter, distinguish its sensing range from its output signal; for a temperature system, say whether the request covers the sensor, indicator or complete measuring chain. Include required operating points and any existing procedure rather than assuming every available function will be calibrated.

Agree what acceptable performance means

Provide the applicable tolerance or performance requirement and explain where it comes from. Ask the laboratory to confirm suitable measurement capability for that requirement. If you need a pass/fail statement, agree the decision rule, including how uncertainty is considered. Traceability connects measurement results to a reference; it does not by itself mean the result is sufficiently accurate for your process.

Prepare access and preserve the starting condition

Coordinate site-authorised isolation, removal, spares and reinstatement with operations. Tell the provider about contamination, process media, damage and special handling. Include necessary probes, leads, adapters or power supplies for bench work. Ask for as-found results before adjustment when you need to understand drift, and agree who can approve adjustment or repair. Calibration and adjustment are distinct activities.

Plan the handover before the downtime

Confirm quantities, the available work window, transport where needed and the certificate format. Identify who will review results and decide whether each instrument can return to its intended duty. Do not promise an operating deadline based only on a planned visit: faults or missing accessories may require additional work.
